Describe the missing item
Privately record the expected subject, approximate date, source and last known location. Search using more than one clue because filenames and displayed dates may have changed. Do not upload a private image to an unrelated search tool merely to locate it. Begin with the archive and source records you already control.
Separate hidden from absent
A gallery filter, excluded folder, different account or altered date can make a file hard to see without deleting it. Inspect the underlying file structure and the relevant source batch. A missing thumbnail is not definitive evidence that the original is gone. Conversely, a cached preview is not proof that a downloadable original still exists.
Choose recovery only after classification
If the file was deleted, inspect the applicable recovery route and date limits. If it was overwritten, look for the intended previous version. If it never completed upload, return to the preserved source. Do not run a broad restore or reorganize the collection while the cause is still uncertain.
A fictional diagnosis
A scan appears under the year it was imported rather than the year the photograph was taken. The file remains in the scan source folder. Correct the organization or annotation carefully while preserving provenance; no deleted-file recovery was needed. If the original cannot be found, keep the status unknown rather than converting a memory of seeing it into evidence that it was backed up.
Keep a search log small
Record the sources and locations already checked, the date clues used and the unresolved possibility. This prevents repeating the same broad search without learning anything. If the source was never inventoried, return to that missing step. Do not label a file deleted merely because a first search failed, and do not label it protected merely because someone remembers seeing its thumbnail in the past.
