Choose one primary organizing rule
A year followed by an event or source can work when dates are dependable. A source-first structure can work better for a large unidentified scan collection. Pick the rule that makes retrieval predictable for your household, then document it in a small readme. Avoid building a deep hierarchy that only its creator understands.
Give uncertainty a home
Do not force an undated photograph into a precise year simply to satisfy the folder structure. Use an unknown-date area or an approximate period and explain the uncertainty in a note. Keep the source label available until the image is identified. A tidy invented date is harder to correct than a plainly recorded gap.
Separate intake from accepted files
New arrivals belong in an intake area until ownership, naming and copy checks are complete. Accepted masters should not become the same place where relatives upload mixed files. Sharing selections can be rebuilt from the master, so they need not dictate its organization. This separation also makes a partial migration easier to resume.
A fictional structure
An example might use Masters/1980s/Family-events, Masters/Unknown-date/ScanDisk and Intake/PhoneA. These are illustrations, not required names or a promise that a cloud gallery preserves folder meaning. Ask another person to find one known photo using only the readme. If they need a verbal explanation at every level, simplify the structure before extending it across the whole collection.
Test one retrieval task
Give an authorized helper a neutral description of a sample photo and ask where they would look. Observe whether the top-level folders guide them or require a verbal explanation. Change the structure only in a copied sample until it works. A successful folder scheme is one people can follow repeatedly; it is not the one with the most detailed hierarchy or the most consistently numbered directories.
