Draw locations and connections
Privately name the master location, working device, cloud account and separately stored copy. Draw which changes automatically flow between them. This small map often reveals that a reassuring second copy is simply another view of the same account. Record unknown connections rather than assuming they are one-way.
Use practical failure questions
Could you retrieve photos if the laptop failed? If the account were inaccessible? If the usual maintainer were unavailable? If one location were damaged? These questions expose different dependencies. You do not need to solve every imaginable event at once, but you should know which important situations your arrangement does not yet address.
Keep the map understandable
Avoid including passwords, recovery codes or sensitive personal details in a diagram you might share. Refer to a secure location for access instructions rather than copying secrets into the archive readme. The map is an explanation of the arrangement, not a credential store or a legal authorization for someone else to access an account.
A fictional review
The map showsa laptop, a cloud account and a disk. The disk has not been updated for two years, so it protects an older subset, not the current collection. Mark its date and missing period explicitly. The next task is to update and verify the independent copy, not add another cloud subscription merely to make the diagram contain more boxes.
Date the map
Add the date each copy was last updated and separately the date it was last read successfully. These are different observations. A current map should also identify who is responsible for the next update. If a copy is deliberately historical, label its cutoff clearly so it is not mistaken for protection of recent photos. Keep the map with the private operating notes and review it after major changes.
