Measure bytes, not memories
Photo count alone is a weak storage estimate because scans, phone images, raw files and videos differ greatly in size. Measure the source folders intended for the archive. Separate confirmed originals from temporary exports and duplicates that have not yet been reviewed. Do not delete uncertain files just to make a smaller plan appear sufficient.
The local calculation
Our worksheet adds current gigabytes to annual growth multiplied by years, then adds a chosen percentage of headroom. All inputs are anonymous totals and remain in this page. A blank means unknown; zero is an explicit assumption. The result is a planning capacity, not an upload measurement, a service quote or a promise about future file sizes.
Include the overlooked copies
Account space and device working space are separate. A downloaded archive, temporary export or synchronized folder may need room locally even when the cloud has plenty of capacity. Also budget for larger videos and new scanning projects. If a service quotes units differently from your device, compare actual bytes or use a conservative margin rather than treating the displayed numbers as identical.
A fictional scenario
A200GB collection growing by 40 GB a year over three years reaches 320 GB before headroom. Adding 25 percent produces 400 GB. This does not prove that a 500 GB plan is suitable: other stored files, recovery features and sharing requirements still matter. Repeat the calculation with a higher growth assumption and consider whether changing plans later would be affordable and practical. Retain the assumptions with your private archive notes.
Check the units before choosing a tier
Write down whether your source measurement includes videos, meaningful edited copies and the new scan project. Keep unreviewed duplicates visible rather than assuming they will disappear. If your device reports a different unit convention from the service, do not squeeze the result into a plan with negligible margin. The worksheet deliberately asks for headroom so uncertainty is part of the decision instead of an afterthought.
